5. Storage and Overseas Processing

We store your records in Australia. Our audiologists use Microsoft 365 Copilot, an artificial intelligence (AI) tool, to help draft reports and letters from their clinical notes. Your audiologist reviews, edits and signs every report before it is sent.

When Copilot processes your information, it may be processed in the United States as well as in Australia. Your records remain stored in Australia. Microsoft is bound by contract to protect your information and to use it only to provide this service to us, and we take reasonable steps to ensure it is handled in line with the Australian Privacy Principles.

If you are a client of the Australian Government Hearing Services Program, we handle your records as the Program requires. They are not taken outside Australia without the Department’s written approval.

If you would prefer that AI tools are not used in preparing your reports, tell your audiologist or contact us.

You have the right to:

  • Access Your Information: Request a copy of the personal information we hold about you.
  • Correct Your Information: Request corrections to inaccurate or incomplete personal information.
  • Delete Your Information: Request the deletion of your personal information, subject to legal obligations.
